Vaccination booklets issued by national health authorities carry an official format that some countries and schools specifically recognise. Paper does not depend on a specific platform or service remaining operational.

Limitations: Easy to lose or leave behind during a move. Difficult to organise across multiple family members. Cannot be searched or structured without significant manual effort. Fire, flood, and simple misplacement are real risks over time.

Digital medical records

Advantages: Accessible from anywhere. Can be structured, searched, and summarised. Easy to update. Shareable instantly. Backed up automatically. Far less likely to be permanently lost.

Limitations: Requires internet access to retrieve. Dependent on the platform remaining operational. Security depends on the provider's architecture. Not all doctors or schools in all countries are familiar with or accepting of digital-only records.

The practical approach for mobile families

Most internationally mobile families benefit from a digital-primary approach with paper backups for the most critical documents. Maintain a complete, structured digital record in a private vault for the full picture. Keep physical copies of vaccination booklets and one or two key specialist letters for situations where paper is specifically required or internet access is limited.

Real-world scenario

A family in Tokyo maintains careful paper files for all five family members. The system works well locally. Then a typhoon floods their ground-floor storage unit and destroys eighteen years of paper records across three countries. Three months later, the same family arrives in New Zealand to register their children for school — and cannot produce vaccination records, allergy documentation, or any past surgical notes. Digital records hosted on European servers survived the flood. The paper ones did not. When digital is the clear choice

The practical question is not whether to use digital records, but which digital format and which storage provider.
